Booking and Payment:

To secure your reservation, Safari Vacations & Travel Services requires an initial 20% deposit of the total cost per person per tour. Additionally, full payment for gorilla tracking and chimp tracking permits is needed for each participant if applicable. Reservations become confirmed upon contact from us. The remaining tour cost is due six weeks before the departure date. If the reservation is made within 60 days of departure, the entire tour cost must be paid upon confirmation. Failure to make complete payment at least 60 days prior to departure may result in cancellation with charges as specified below. Safari Vacations & Travel Services reserves the right to deny participation to individuals deemed unsuitable for a tour.

Changes to Tours:

Any changes made less than 60 days before departure are subject to cancellation fees imposed by Safari Vacations & Travel Services.

Cancellation Policy:

Cancellation fees are as follows:

  • 61 days and above: 20% of the tour cost
  • 46-60 days: 40% of tour cost
  • 31-45 days: 60% of tour cost
  • 0-30 days: 100% of tour cost

Cancellation fees are based on the date of written notification received by Safari Vacations & Travel Services via email.

Gorilla Permit Terms and Conditions:

Gorilla Permits are secured upon receipt of a $500 deposit per permit, separate from the main tour deposit. Cancellation fees for gorilla permits are as follows:

  • More than 90 days before tracking date: 25% cancellation fee
  • 46 to 90 days before tracking date: 50% cancellation fee
  • 9 to 45 days before tracking date: 75% cancellation fee
  • 0 to 8 days before tracking date: 100% cancellation fee

Percentages are based on the full current permit price.

Uganda Chimp Permit Cancellation Policy:

Chimpanzee Tracking Permits require a $150 deposit per permit, separate from the main tour deposit. Cancellation fees for chimp permits are as follows:

  • More than 46 days before tracking date: 50% cancellation fee
  • 31 to 45 days before tracking date: 75% cancellation fee
  • 0 to 30 days before tracking date: 100% cancellation fee

Percentages are based on the full current permit price.

Rwanda Gorilla Permit Cancellation Policy:

Rwanda Gorilla Permits necessitate a $500 deposit per permit, separate from the main tour deposit. Cancellation fees for Rwanda gorilla permits are as follows:

  • More than 46 days before tracking date: 50% cancellation fee
  • 0 to 45 days before tracking date: 100% cancellation fee

Percentages are based on the full current permit price.

Group Departures:

Group departures require a minimum of 2 clients. If this number is not reached by 60 days before departure, clients have the option to continue privately, covering additional costs. Otherwise, the trip may be canceled, and the deposit returned in full.

Claims and Refunds:

Refunds are generally not provided for missed tour services. Verifiable claims must be submitted in writing within 30 days of tour termination. Adjustments, if any, are based on actual service costs, not on a per diem basis. Claims not received within 30 days will not be accepted.

Expenses Covered and Not Covered:

Details of trip inclusions and exclusions are provided on the “Dates and Prices” page for each tour.

Accommodations:

We reserve or recommend reasonably priced, well-equipped hotels/lodges. Prices are based on double occupancy. Single travelers may request shared accommodations; otherwise, a single supplement applies. Accommodation substitutions may occur with notice.

Photography on Tour:

Safari Vacations & Travel Services may take photos for promotional purposes. Travelers not wishing to be featured should notify their tour escort at the start of the tour.

Medical Requirements:

Good health is crucial for outdoor tours. Participants with medical conditions must inform Safari Vacations & Travel Services in advance. The company assumes no liability for medical care or special dietary needs. Participants must have valid medical insurance for the tour duration.

Limits on Safari Vacations & Travel Services Responsibility:

The company purchases services from independent suppliers and is not liable for incidents beyond its control. It reserves the right to revise prices, withdraw a tour, alter itineraries, refuse or retain tour members, and pass on unexpected costs. Optional activities involve inherent risks, and participants engage at their own risk.

Primate Tracking:

Individuals may be prohibited from tracking due to health reasons. No guarantee is given for primate sightings. The minimum age for gorilla tracking is 15 years.

Traveler’s Responsibilities:

Tour members are responsible for understanding and adhering to the Terms and Conditions, selecting appropriate trips, preparing adequately, maintaining personal hygiene, following social norms, and completing the itinerary. Leaders may ask a member to leave if their participation becomes detrimental.

Knowing and Voluntary Execution:

Payment of a deposit certifies understanding and acceptance of the Terms and Conditions by agents/tour participants. Depositors and their heirs agree to be bound by the specified terms.
